Why WhatsApp Communities
Easy access
Most of your players will have access to a smartphone, laptop, tablet or maybe a dumb phone that has whatsapp. That's a massive barrier you've just jumped.
Ease of Use
Your team have the app already and are probably using it frequently, if not, it's just a messenger app, so they'll understand it quickly... No installing something new, no onboarding them to understand how to do stuff... It's painless experience.
It's Fast
The beauty of WhatsApp lies in its immediacy. Last-minute changes, updates on fixtures, polling availability or urgent announcements are relayed seamlessly. This real-time communication minimizes confusion and ensures everyone is on the same page, You can see who's read and who's not read messages, it helps elevate the team's efficiency.
Privacy
Members can hide their numbers from each other if they want to keep things private, this is especially useful for youth teams where junior players may wish to participate it chats but hide contact information from other parents, or for coaches to keep their relationships simple with the players through official channels only.
A Community Full of Different Groups
We use groups inside the community for different things, here's a breakdown of ours:
Announcements
Everyone is added by default to this group and it's the only one we recommend players not muting.
- Polls to see if a player is available for games or training
- Changes to locations
- Birthday announcements
Management
For everything tactical, planning, arranging and organisational, this invite only group is for our management and some board members. It's a safe place to discuss anything away from players and helps keep the players away from the boring stuff.
For coaches, WhatsApp opens doors to personalized guidance. They share insights, videos, or tactical strategies, enhancing players' understanding and skill development. The platform becomes a coaching corner, enriching the team's expertise.
Players Room / Locker Room
This is the room for the players to chat and discuss things. It can nurture team spirit. It's a safe space for banter, game photos, encouraging each other, celebrating our victories or consoling defeats... This group knits the team together beyond the confines of the field. Camaraderie can breed a sense of unity crucial for success, and this simple group can help.
We also use the group description to hold information on:
- Upcoming fixtures
- How to pay subs
- Bank account details for transfers
- Notes on who to contact
- etc.
Treatment Room
Injuries are just a part of the game, and sometimes having players who are injured and away from games and training can prove difficult and they can become disconnected. We created our treatment room group to:
- Keep in touch with injured players
- Track how their recovery and progress is coming.
- Keep a simple log of who is injured and when they are likely to return (using the group description)
Finances
A group designed for the chair, sec and treasurers to discuss finances... raising payments, checking on sub fees, and keeping stuff ticking. Separating this from the management group means your coaches can focus on football and not worry about someone owing 50p on their account!
The Downside
It could result in lots of messages
Success can have a bad side... the messages can mean your players are enjoying being in touch with each other, but it can get overwhelming, or even consume your devices battery in a few hours! But don't worry, you can mute groups temporarily if you want - or permenantly, it's completely up to each user.
Stupid Names
If you don't have players contacts stored in your phone, their names may look odd... we have a "Baby Face" and a "It's Me" in our groups... not exactly helpful.
Other Tips
Ensuring Privacy and Discipline
While fostering camaraderie, maintaining a professional tone is vital. Clear guidelines on the group's purpose, communication etiquette, and respecting individual privacy uphold the team's integrity.
- Each group should have it's own description to outline what it's for and what's expected.
- Flag innapropriate messages up early to avoid them becoming the form.
- Give players time outs if needed. Even when they're adults this can be used and can even be funny, especially if you couple it with fines.
- Shut off the chatter when things get a bit much... You can always set the group to only allow admins to post.
Striking the Balance
As with any tool, moderation is key. Balancing informative updates with a light-hearted team spirit ensures engagement without overwhelming members. It might take a bit of trial and error, but be sure to get feedback from your community to see how it's all going.
